Cancellation and Refund Policy

We understand that plans can change, and we aim to be fair and transparent while balancing the advance commitments required to run our retreats.

This policy explains what happens if you need to cancel your booking, or if we need to cancel a retreat.

Cancellations by You

All cancellations must be made in writing by emailing travelmindedbusiness@gmail.com.

More than 60 days before the retreat start date

  • Any amount paid more than 60 days before the retreat start date will be refunded

  • However please note that transaction or processing fees may be deducted

60 days or fewer before the retreat start date

  • No refunds are available

  • The full retreat cost will be forfeited

No refunds can be issued once a guest has attended, stayed at, or taken part in any portion of the retreat.

Transfers & Substitutions

  • Bookings and deposits are non-transferable to another retreat or date unless explicitly stated otherwise

  • You may nominate a replacement guest, subject to organiser approval and any reasonable administrative requirements

Cancellations by Travel Minded

All retreats are subject to minimum participant numbers.

Travel Minded reserves the right to cancel a retreat due to:

  • Insufficient bookings

  • Force majeure or events beyond our reasonable control

  • Supplier or venue issues

  • Staff illness or unforeseen operational circumstances

If we cancel a retreat, you may choose between:

  • A full refund of all payments made, or

  • Transferring your booking to a future retreat (subject to availability)

We are unable to cover additional costs such as flights, accommodation outside the retreat, or loss of income. We strongly recommend booking flexible travel and holding comprehensive travel insurance.

Travel & Insurance

Guests are responsible for:

  • Booking and paying for their own travel

  • Holding valid and appropriate travel insurance

  • Making flexible travel arrangements where possible

Travel Minded is not responsible for travel disruption, delays, or cancellations outside our control.

Refund Processing

Where applicable, refunds will be processed to the original payment method within 10 working days of written confirmation.
